Community and Facilities Coordinator
Job Summary:
The Community and Facilities Coordinator serves as the welcoming heartbeat of Q Station, ensuring a polished, professional and inviting environment for all who enter our collaboration space. This staff member supports the Facility Operations Manager in all duties relating to event setup, facilitation, teardown and coordination. He/she also builds relationships with members and partners by learning who they are, understanding their needs, and helping connect them with resources, people, and opportunities within the Q Station ecosystem.
Key job responsibilities:
•Serves as the first ambassador for Q Station by creating an exceptional first impression for members, government and community partners, international delegations, and visitors.
•Manages member check-in/check-out and visitor registration procedures.
•Conducts opening and closing procedures for the facility.
•Ensures conference rooms, collaboration spaces, and event areas are fully prepared before each meeting.
•Performs light troubleshooting of audio-visual equipment (laptops/tablets, televisions, microphones, presentation systems, Zoom/Teams connections) before escalating issues.
•Receives and distributes mail, packages, and deliveries.
•Assists with member onboarding, including building access, facility orientation, and workspace procedures.
•Supports emergency preparedness procedures and reports maintenance or safety issues to management immediately.
•Tracks facility maintenance requests and follows through until completed.
Job Qualifications:
•Experience with hospitality, co-working spaces, conference centers, hotels, or event venues is highly desirable.
•Excellent written and verbal communication skills.
•Self-starter who takes initiative without waiting for direction.
•Flexible schedule to support occasional activities off-hours (before or after Q Station’s opening times and/or weekends)
•Ability to lift and move up to 40–50 pounds for event setup.
•Comfortable using Microsoft 365 and online scheduling systems.
